We built SimplifyIT to prioritize speed, security, and transparency. Our AI tools follow that same philosophy. This page explains exactly what's shared, what's not, and how your institution can control what AI features are enabled - or disable them completely if preferred.
What AI Services Are Used
AWS Comprehend is used to detect the intent of user queries. It never accesses your documents, and only the text of the query is sent. AWS retains that query string for 45 days by default, with no link to your institution.
OpenAI Embeddings are used to match queries to meaning - not just keywords. We pre-process content and store numerical representations (embeddings) for faster results.
AI Feature Controls
Institutions can configure AI features at any time. These settings can be adjusted before launch or during ongoing use:
- Disabled By Default - Use traditional keyword-based search only
- Enable Intent Detection Only - Use AWS Comprehend to understand query intent (fast, private, no document sharing)
- Enable Full AI Search - Use both AWS and OpenAI to power semantic search and summarization
All settings are available at the system level and require no third-party sign-in. OpenAI requires a client-generated API Key and account to control cost.
Common Questions
Can disable AI entirely?
Yes. AI integration is opt-in. You can choose to disable it completely or restrict what gets included in embeddings.
Does AWS Comprehend store our content?
No. Only the search query string is sent. AWS retains this for 45 days with no document access or user data.
Can we limit what gets embedded?
Yes. You can exclude pages and documents to protect sensitive materials.
Can AI-generated answers be audited?
Yes. Every AI search includes a reference to the source document(s) (which has audit logs available).
